The LMS Administrator and Data Specialist will support the victim services and training team by leading the efforts to deploy finished products on RAINN's learning platforms. This position requires communicating with key stakeholders about data requirements in order to design, create and deploy new reports, insights, and key metrics that support the effective deployment and delivery of RAINN's two Learning Management Systems operating on eFront and Drupal.

The LMS Administrator and Data Specialist will also collaborate with internal and external stakeholders to ensure available technology keeps pace with the needs of the organization and core training audiences. The installation of all system updates, upgrades, integrated tools, and other software associated with the LMS, fall within the responsibility of this role.

Essential Duties and Responsibilities:

1. LMS Technical Management

  • Launch training modules on relevant LMS by specified deadlines.
  • Perform routine systems maintenance and configuration administration.
  • Upload data into the LMS for classes, user profiles, etc., and ensure accuracy is maintained.
  • Assist in the design, review, testing and implementation of LMS updates and enhancements, as needed.
  • Keep abreast of changes in the LMS systems by participating in user meetings and online forums and by accessing online resources.
  • Research and resolve technical issues related to the training modules in the LMS that are reported by end users.
  • Develop and communicate LMS user procedures, guidelines and ensure process documentation.
  • Ensure reporting filters are updated across all reports as changes are made within the system.
  • Ensure data is consistent across all curriculums, sessions, session emails, prerequisites, assignments and assessments.
  • Ensure that LMS design choices are Section 508 compliant.

2. Reporting

  • Continually evaluate training data and the best way to obtain concrete information from it as well as efficiency of reporting methods.
  • Create all regularly scheduled and ad-hoc reports for the Learning Management Systems and distribute across relevant departments.
  • Provide aggregate and individual performance reports from the LMS system to highlight areas of concern for training and programmatic managers.
  • Utilize available presentational tools and/or other software to help create and deliver robust reports.
  • Anticipate and propose reporting needs as new initiatives and courses are created.
  • Maintain and share a status list of prioritized reporting requirements.
  • Create custom and dashboard reports for external agencies to assist with registration information.
  • Identify and troubleshoot errors in reports created by others and share back solutions.

3. Stakeholder Engagement

  • Collaborate with hotline program teams to help identify training classes in danger of low enrollment.
  • Train colleagues on the training team to use the LMS reporting function and create documentation to assist with training, as requested.
  • Interface and engage stakeholders at all levels internally as necessary for meetings, information sessions, and functional training.
  • Co-lead and participate in regular meetings with the support teams for eFront and Drupal, bringing in additional members from the training team, as needed.
  • Participate in regular IT meetings to stay abreast of technical updates across the organization.
  • Establish and maintain relationships with individuals at all levels of the organization, as needed.

4. User Support

  • Manage training email inbox and respond to user issues in a timely manner.
  • Create email template language for common issues that require troubleshooting.
  • Share common user issues and solutions with the training team during meetings, and as needed.

5. Content Support

  • Provide data-driven narratives to the training team to support training needs.
  • Assist in the preparation of course materials for online distribution including the creation of training portal pages, uploading and organization of course materials, and production of digital resources that will be easily accessible to a range of online learners.

In addition to the above essential duties and responsibilities, the LMS Administrator and Data Specialist provides support with an all-hands-on-deck approach and may be expected to complete all other duties as assigned.

Position Specifications/Requirements:

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skills and/or abilities required:

Required Qualifications:

  • Minimum of 3 years of relevant work experience in designing e-courses and other e-learning items, preferably at a national level, with experience utilizing learning management systems, both eFront and Drupal are preferred.
  • Prior experience partnering with team members and other stakeholders to understand training needs based on LMS data.
  • Demonstrated excellence in documentation for training and process recall purposes.
  • Experience creating and running scheduled and ad-hoc reports, such as monthly course completion reports, training evaluation metric reports and training surveys.
  • Strong collaboration skills to work effectively with the training team to ensure project goals, timeline and budget expectations are met, while simultaneously leading all aspects of LMS data management.
  • Proficiency with Microsoft Office tools.
  • Demonstrable experience working in fast-paced, stressful environments to delivered required results.
  • Strong interpersonal, verbal and written communication skills required.
  • Excellent conceptual, problem solving and analytical skills.

The candidate must be able to:

  • Work on-site at RAINN's offices and to attend meetings, as required.
  • Must be comfortable discussing issues surrounding sexual violence.
  • Must successfully complete a criminal background check (administered by RAINN).


  • Bachelor's degree in education, psychology, or related field.
  • Certificate in database management or related field, preferred.

Desired Qualifications:

  • Veterans will be given a priority.
  • Experience in crisis hotline/intervention.
  • Professional qualification in instructional design or related discipline.
  • Experience in the fields of health education, workforce development, and/or social justice.
  • Master Training Specialist Certification, ASTD Certified Professional in Learning and Performance (CPLP), and/or Certified Health Education Specialist (CHES).
